Scope Overview:
The Receptionist will be responsible for managing the front desk, greeting visitors, answering phone calls, and performing a variety of administrative tasks. The ideal candidate will have excellent communication skills, a positive attitude, and the ability to multitask in a dynamic environment.
Key responsibilities:
1. Front desk management:
- Greet and welcome visitors in a warm and professional manner.
- Manage the reception area, ensuring it is tidy and presentable.
- Maintain visitor logs and issue visitor badges as required.
2. Phone and email management:
- Answer, screen, and forward incoming phone calls.
- Respond to general inquiries via phone and email.
- Take and relay accurate messages to relevant personnel.
3. Customer service:
- Provide information about the company’s products and services to visitors and callers.
- Handle customer inquiries and direct them to the appropriate department or personnel.
- Assist customers with basic questions and issues.
4. Administrative support:
- Receive, sort, and distribute daily mail and deliveries.
- Assist with scheduling appointments and meetings.
- Maintain office supplies inventory and place orders as needed.
- Assist with data entry, filing, and other clerical duties as required.
5. Coordination and communication:
- Coordinate with other departments to ensure smooth operations.
- Communicate effectively with team members to support office activities.
- Assist in organizing company events and meetings.
Qualifications:
1. Education:
- High school diploma or equivalent; additional certification in office management is a plus.
2. Experience:
- Previous experience as a receptionist, front office representative, or similar role preferred.
- Experience in the customer service or hospitality industry is an advantage.
3. Skills:
- Proficiency in Google Suite.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- High attention to detail and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information.
